Office Manager

Our Office Manager is the 'backbone' of the company and, in that role, proactively and independently ensures the smooth running of our work. You are the central point of contact in the office and assist in both internal organization and client assignments. The Office Manager works closely with the responsible members of the MT for the various internal components (internal organization, personnel, and finance).

&FLUENCE is a consultancy in The Hague that focuses on negotiation, dialogue, and strategic communication.

What are you going to do?

The job profile of our Office Manager consists of three pillars: internal organization, personnel, and finance.

Internal Organization
· You are the executive assistant of the MT and also present at the weekly MT meetings. As direct support, you relieve them by taking on tasks and are responsible for agenda management and scheduling appointments. You also actively think about the development of &FLUENCE and where opportunities or areas for improvement lie.

· You create the annual planning (including holidays) and early on signal peaks and troughs in workload. You also assist in planning and organizing internal strategy days and staff outings, such as the winter sports trip and the Christmas party!

· Additionally, you are the primary contact person for third parties required for work with our clients (such as caterers, travel agencies, external locations, etc.) and handle the office's facilities (such as any necessary repairs or parking spaces).

· You are also responsible for a representative environment in which everyone can work comfortably. Here, you coordinate the arrangements with the cleaners, grocery orders, a warm welcome for our guests, and other tasks. You don't have to do all of this yourself, but we do expect you to take the lead in ensuring that it is done well and on time.

Depending on your interests and the ongoing projects, we will work together to provide a good fit for your internship period. You can contribute to various activities and develop a broad skill set.

Personnel
· You are a confidant for colleagues, who feel at ease coming to you for a chat. You ensure a pleasant working atmosphere in the office and keep an eye on social cohesion, for example by occasionally organizing drinks or lunches for the office.

· You support our People Lead in the development discussions of colleagues. Here, you actively contribute to the development of (junior) consultants, both on the job and during formal development discussions.

· You are responsible for further developing and implementing our onboarding program for new colleagues. This also applies to offboarding, such as organizing farewell drinks and collecting office supplies.

Finance
· You support our Managing Director in finance. You enter incoming invoices into our online invoicing system and prepare payments that need to be made.

· You are responsible for invoicing our clients for the work and services we have provided.

· As we will continue to grow in the coming years, you actively think about streamlining internal processes, so that we can continue to work methodically now and in the future.
